Quick answerBuy a missing communication capability—not a bigger list.
What to know

Name the announcement, not the software

Write one sentence describing what a recipient needs to know and when they need it. “The Saturday workshop has moved to Room B” is an announcement. “Let us discuss next season’s activities” is a conversation. A broadcast service may help the first task; turning the second into separate private replies can create more coordination work than it removes. Neither example is an emergency notification plan.

What to know

Check the audience you actually have

A contact count is not a usable messaging audience. Separate people who have agreed to receive this type of message, people whose preferences are uncertain and people who should stay on another channel. Do not treat an email subscription, a ticket purchase or an old spreadsheet as automatic permission to text. Resolve the applicable requirements with the service and qualified advice before importing anything. Our worksheets accept aggregate counts, never phone numbers.

What to know

Find the missing capability

Compare the existing routine against three needs: reaching a permitted audience without a shared reply thread, scheduling a recurring notice and assigning someone to respond. If an existing email list reliably handles a monthly digest, there may be no missing capability. If a small committee needs to debate a decision, a discussion channel may be better. Do not assume texting is read immediately or that a sent status proves understanding.

What to know

Make a reversible decision

Start with a written use case, a modest volume assumption and a human owner. Record what would make the purchase unnecessary: no audience preference for SMS, too few recurring notices or nobody able to manage replies. A trial can test a workflow, but a polished demo cannot establish audience demand. The next useful step is a channel comparison followed by an aggregate monthly budget—not uploading a contact list.
